Filter a Corpus and Save It As a Smart Collection

A filter is a way to hide some documents in your corpus and focus on some others. You can set a filter at any time, and switch it on and off as needed. You can also save a filter as a smart collection so that you can re-apply it in the future.

Follow these steps to set a filter on your corpus:

  1. Open LogosLink Desktop.
  2. Open a corpus by clicking on the Open button in the Home ribbon tab. Alternatively, open the backstage and click on Open to select or browse for a corpus. LogosLink Desktop shows the corpus in a new window.
  3. Switch to the Filter pane on the left. If you can't find this pane, switch to the Corpus ribbon tab and click on Edit Filter. The Filter pane will show.
  4. Set some criteria to filter your documents. You add criteria by clicking the button at the bottom, and selecting the right property from the menu. For example:
    • You can select Title to add a criterion on the document title. You can specify whether the title should contain, start with, be greater or less than, etc. a target value that you enter. For example, select "Contains" and enter "China" to set a criterion that will activate only those documents having a title that contains the word "China". You can also set some options for case sensitive, whole words, diacritics, etc.
    • You can select Labels, and then Label to add a criterion on the document labels. You can specify whether the document must have some labels, or include or exclude some target label that you can pick. For example, select "Not Includes" and pick the "trade" label to set a criterion that will activate only those documents not having the "trade" label.
  5. Note that the criteria that you set are combined as indicated at the bottom, either or . You can change how criteria are combined by clicking these buttons.
  6. You can also negate any individual criterion, or the filter as a whole, by using the buttons.
  7. You can also duplicate criteria via the button, or delete them with the button.
  8. When you are done establishing criteria, click the Apply button in the pane toolbar to apply the filter to your corpus. LogosLink Desktop will switch to the Documents pane and show the active documents only. The toolbar will show how many documents are active and how many exist in total.
  9. You can go back to the Filter pane at any time, change the criteria, and re-apply the filter as needed.
  10. To remove the filter and go back to seeing all the documents in the corpus, use the in the Filter pane toolbar. The criteria will remain there, but the filter will be deactivated.

Filters are reset every time you close your corpus. This means that any filter that you create will be lost if you close your corpus, even if you save it. To make a filter survive work sessions, you need to save it as a smart collection.

Follow these steps to save a filter as a smart collection:

  1. Open LogosLink Desktop.
  2. Set a filter as illustrated above.
  3. In the Filter pane, click the . A dialog box will show.
  4. Enter a name for the new smart collection, for example, "Documents about China but not trade". Enter a description if you wish.
  5. Click OK to create the collection. LogosLink Desktop will show the collection name in the Filter pane toolbar.
  6. Click the Apply button in the pane toolbar to apply the saved filter. LogosLink Desktop will switch back to the Documents pane and show the filtered documents. Also, the name of the collection will be shown in the Collections drop down box at the top of the Documents pane.
  7. Make sure that the corpus is in read/write mode. You can check and change this via the Access Mode button in the Home ribbon tab.
  8. Click the Save button in the Home ribbon tab. The new collection is saved as part of the corpus, so it will be available from the drop down box next time you open it.
  9. You can modify the filter criteria as indicated above at any time. Every time that you re-apply the filter by clicking the Apply button in the Filter pane toolbar, the collection is updated with the modified criteria.
